Privacy Policy

This policy explains what Quantum Ridge Systems, Inc. (“QRS”, “we”) collects when you use Arcanium, why we collect it, and what choices you have. It applies to the Arcanium website and hosted service.

1. What we collect

• Account information — your company name, work email address, and a password, which we store only as a salted hash. We never store your password itself.
• Service usage — the areas you analyse, the labels you give them, the regions you view, and a record of billable events. This is what lets us deliver results, enforce plan allowances, and bill accurately.
• Technical records — session cookies and server logs, including IP address and timestamps, kept for security and troubleshooting.
• Payment information — handled by our payment processor. We receive a customer reference and subscription status; we do not receive or store your full card number.

We do not collect special categories of personal data, and Arcanium is not directed to children.

2. Why we use it

To provide and operate the service; to authenticate you; to run the analyses you request and email you the results; to enforce plan limits and bill correctly; to secure the service and investigate misuse; and to meet our legal and accounting obligations. We do not sell your personal information, and we do not use your data to train models we sell to others.

3. Cookies

We use a session cookie to keep you signed in. It is strictly necessary for the service to function. We do not use advertising or cross-site tracking cookies.

4. Who we share it with

We share personal information only with service providers who help us operate Arcanium, and only as needed for that purpose:

• our cloud hosting and database provider;
• our payment processor, for subscriptions and charges;
• our transactional email provider, to deliver verification and analysis-completion messages.

We may also disclose information where required by law, or in connection with a merger, acquisition, or sale of assets, in which case we will give notice before your information becomes subject to a different policy.

5. Where it is processed

Arcanium is hosted in the United States, and information you provide is processed there. If you access the service from outside the United States, you understand that your information will be transferred to and processed in the United States.

6. How long we keep it

Account and usage records are retained while your account is active and for as long as needed afterwards to meet legal, tax, and accounting obligations. Analysis results you commissioned remain available to your organization while your account is active. You may ask us to delete your account and associated personal information; we will do so except where we are required to retain records.

7. Security

Access to the service requires authentication; passwords are stored hashed; data is transmitted over TLS; and access to production systems is restricted. No system is perfectly secure, and we cannot guarantee absolute security, but we work to protect your information and to notify you of a breach affecting it as required by law.

8. Your choices and rights

You may review and update your account details when signed in, change your password at any time, and request access to, correction of, or deletion of your personal information by writing to support@quantumridgesystems.com. Depending on where you live, you may have additional rights — including, for California residents, rights to know, delete, and correct personal information and not to be discriminated against for exercising them; and, for individuals in the European Economic Area or United Kingdom, rights of access, rectification, erasure, restriction, portability, and objection. We do not sell or share personal information as those terms are defined under California law.

We will respond to requests within the time required by applicable law. If you believe we have not resolved your concern, you may have the right to complain to your local data protection authority.

9. Changes to this policy

We may update this policy. The effective date at the top of the page shows when it last changed; material changes will be communicated to account holders by email.
